Club By-Laws 2021

Article I

Name and Purpose

1. The name of the group shall be known as YOLO for You Only Live Once. YOLO members are expected to be positive, enthusiastic and energetic individuals.

2. The mission of the group is to provide a wide variety of fun and exciting recreational activities for YOLO members for the purpose of making new friends and enjoying life.

Article II

Membership and Dues

1. Membership in the YOLO club is for residents/home owners in The Villages, FL who have a valid Villages ID. Full time renter(s) will be considered residents if they have a valid Villages ID. Short term renters and family and friends from outside the tri-county area may be guests of YOLO members. 
2. The YOLO club is part of The Villages Resident Council Groups and as such will abide by Resident Council rules in accordance with the permit.

3. In order to apply for membership in the group, each person must have a YOLO Member as a sponsor, attend an orientation meeting or virtual meeting, and schedule an activity for YOLO members or help with an event each year of membership. A complete application and dues payment must be received prior to becoming a YOLO member. Each year the YOLO Membership list will be reviewed in November and by December 1st all members who have not put on an activity must immediately schedule/put on an activity or help with one. If they do not, they will be removed from the club. A perspective member may participate in some YOLO activities prior to becoming a YOLO member as a guest of a YOLO member, although they should not abuse this privilege. 

4. YOLO members may choose to be a sponsor for a potential new member. The YOLO sponsor must help the new member with navigating the website, signing up for new events, paying for events, and generally answering questions about how the club functions.

5. Occasionally, a YOLO member may wish to advertise an event that does not require sponsorship (a fund raiser, cruise, giving away items, or large garage sale, etc.,) It is up to the sole discretion of the YOLO governing committee to choose to distribute this information to YOLO members or deny distribution.

6. The number of YOLO memberships will be limited. Each year a waiting list will be maintained and new members allowed into the club as previous members leave. The club will be opened once or twice a year, as membership warrants at the discretion of the governing committee. If a YOLO member gets married or moves in with a non-YOLO member, their spouse or significant other may apply and join the club when the next club opening is scheduled.

Article III

Governance
 
Governing Committee

1. The group is officially governed by the permit holder and treasurer known as the Governing Committee. It is the responsibility of the Governing Committee to follow all the rules put forth by The Villages.  

2. The Governing Committee has a minimum of 2 members. The Governing Committee may include 1) treasurer, 2) permit holder, 3) webmaster, 4) membership chairperson, 5) newsletter editor, and 6) secretary. One person may hold more than one position at any time. Other positions may be assigned by the Governing Committee as needed.

Permit Holder- Holds the Villages permit for YOLO as a group

Treasurer – shall have responsibility for collecting and accounting for money, writing checks, maintaining member credit accounts, and establishing a list of paid members.

Webmaster –maintains the website and sends emails to YOLO members.

Membership Chairperson-reviews new applications, sends welcome emails to new members, and orders name tags.

Newsletter Editor-organizes upcoming activities for members and emails to the group

Secretary-keeps written records of meeting information.

2. The permit holder will determine the need to meet with respective Governing Committee Members individually, in small groups or as a whole group, as needed.

3. The Governing Committee will be responsible for designating individual chairpersons or planning groups for large events, as deemed necessary. 

Article IV

Member Policy/Dues
1. Member Policy. A member is defined as anyone who has paid dues for the calendar year and put on or assisted with an activity for the YOLO group for that calendar year.

2. Dues will be set by the Governing Committee by December 1st for the following year. Renewal of dues will be requested by December 1st and end in January each calendar year.

3. All YOLO events shall be planned or completed by December 1st of the current calendar year for a member to remain a YOLO member for the next calendar year. Members who have not scheduled or completed their event will be removed from the email list on or near December 1st and will not be invited to return to the club during the following year. At least two emails will be emailed out indicating the need to complete their activity prior to the December 1st cut off. 

Article V

Guest and Activity Policies


1. Guest Policy. Members may bring Village Resident guests occasionally to YOLO events, although they should not abuse this privilege. Guests must be Village residents, or out of town guests &/or family members with guest passes for Village Events. For activities not requiring Village ID’s (i.e. going out to dinner), members may bring a guest with permission of the event leader. Guests must never prevent a YOLO member from attending an event. All guests must have Villages ID’s for Recreation Center activities, unless otherwise indicated. Young children and grandchildren may not participate unless the event is designed and appropriate for that age group. Whenever a guest will be accompanying a YOLO member, the member is asked to let the YOLO event leader know they are bringing a guest(s) by putting their guest(s) names on the sign-up sheet and designating the person as your guest.
2. Activity Policy. If you are unable to attend an activity that you had previously signed up for, please notify the YOLO event leader as soon as possible. 
3. There will be occasions when the event leader needs an additional person(s) to attend an event (i.e., complete a four-some in golf). The event leader may choose to invite a non-YOLO member to attend such activities at their discretion. This may never result in the exclusion of a YOLO member.

4. If an event does not require much work from the event leader, for example- reservation at a restaurant, meeting in the square, etc., only one couple will be allowed to put on this event for YOLO credit. 

5. YOLO Members will not be allowed to put on more than one YOLO activity on the same date. This is especially important if they are similar activities. Events will be listed on the calendar on the website and in the Newsletter. Exceptions will be made for events occurring at different times of the day or widely different events which will not exclude members from participating.

6. All YOLO events must be open to all YOLO members. An event may not be designated for singles, couples, women or men for example.

7. All YOLO events must have the YOLO club designated in the email advertisement and paperwork related to the event. If it is not, this will not be considered a YOLO event and the chairperson and all committee members will not receive credit for this event. 

Article VI

Possible Chairpersons:

Name Tag Orders: Orders and distributes name tags.

Event Tracker: Keeps track of the events people put on during the year as the event comes out in an email.

YOLO CUP Organizer: Plans and oversees the annual YOLO Cup golf event. Maintains the YOLO Cup.

YOLO OPEN Organizer: Plans and oversees the annual YOLO OPEN golf and charity dance event. 

Valentine’s Day Dance Organizer: Plans and oversees the annual Valentine’s Day event. 

BBQ Dance Organizer: Plans and oversees the annual BBQ event.

Greetings Coordinator: sends out birthday greetings to all YOLO members during the year. 

Article VII

All Other

1. Any items not addressed in these bylaws shall be decided by the Governing Committee.
2. Any by-law amendment or revision can be requested and submitted in writing by any member of the organization in good standing to the Governing Committee. 
3. Privacy: The web site shall not list members’ personal contact information without appropriate security measures such as password protection. Members may opt not to have personal information disclosed to other members with the exception of email addresses. Every attempt will be made to send whole group emails in a blind copy to other members, as appropriate. The club shall not sell any demographic information about members. 

4. This is a social club and we strive to provide activities that everyone can enjoy. If someone finds that they are unable to enjoy an activity for some reason, we ask that individual to simply leave the activity. The exception would be if there is a violation of The Villages code of conduct, this should be reported to the person in charge of the activity. Breach of The Villages code of conduct may result in exclusion from future activities and removal from the club.

5. In order to promote peaceful exchanges between members, we request that no member actively discuss politics or religion at events. We also ask that no one publicly display political preferences such as hats, t-shirts, flags etc., to help eliminate potential confrontations. Anyone purposefully wearing pollical attire may be asked to remove it or leave the activity if anyone objects.
